User Guide

Welcome to SAGENT! This guide walks you through setting up your account and using SAGENT to extract invoice data and send it to QuickBooks.

1. Creating an Account

  1. If you already have an account you want to use, you can skip to Logging In. Otherwise, go to the sign-up page and enter your full name, email address, and a password.
  2. Confirm your password and click Sign Up.
  3. You'll be taken to the login page to sign in with your new account.

2. Logging In

  1. Enter your email and password on the login page and click Login.
  2. For security, every login requires a one-time verification code. We'll send a 6-digit code to your email — enter it on the verification screen and click Verify.
  3. Didn't get a code? Click Resend Code (available every 3 minutes).
  4. If this is your first time logging in, you'll be asked to choose a plan before reaching your dashboard.

3. Changing Your Password

  1. From the login page, click Forgot Password?
  2. Enter your email address and click Send Reset Link. If an account exists for that email, we'll send a password reset link.
  3. Open the email and click the reset link.
  4. Enter a new password and confirm it.
  5. You can now log in with your new password.

4. Single-Company vs. Multi-Company Accounts

SAGENT accounts come in two types, depending on your plan:

  • Single-company accounts are set up for one business. The first time you log in, you'll fill in a short form with your business details, and you'll go straight into that company's workspace from then on.
  • Multi-company accounts let you manage several businesses under one login. Your dashboard shows a list of all your companies, along with a summary of how many companies you're using and your recent invoice activity across all of them.

5. Adding Companies

(Multi-company accounts only)

  1. From your dashboard, click + Add New Company.
  2. Enter the business name and owner name (required), plus a contact email and phone number (optional).
  3. Click Add Company.

Each company gets its own workspace and its own QuickBooks connection. Your plan determines how many companies you can add — if you reach your limit, you'll see a message with an option to upgrade.

6. Switching Between Companies

From your dashboard, click any company in your list to open its workspace — including its own QuickBooks connection, invoice uploads, and usage. To return to your full list of companies, click Back to Companies at the top of the sidebar.

7. Connecting to QuickBooks

  1. Open the company you want to connect, then go to its Connections tab.
  2. Click Connect to QuickBooks.
  3. A QuickBooks login window will open. Sign in and authorize access to your QuickBooks company.
  4. Once authorized, the window will close automatically and you'll see Connected along with the name of your connected QuickBooks company.

If your connection ever becomes inactive (for example, if access was revoked from QuickBooks directly), just click Connect to QuickBooks again to reauthorize — your invoice history isn't affected.

8. Disconnecting from QuickBooks

  1. Go to the company's Connections tab.
  2. Click Disconnect.

This removes the link between that company and QuickBooks. It doesn't delete any invoices you've already uploaded or extracted — you can reconnect at any time.

9. Uploading Invoices

  1. Open a company and go to its DocuReader tab.
  2. Drag and drop your invoice files, click to browse, or use Take Photo to capture one with your camera. Supported formats: PDF, PNG, JPG, WEBP, and HEIC.
  3. You can upload a single invoice or several at once. While your files are processing, you'll see progress as they're uploaded, analyzed, and extracted — this can continue in the background while you do other things.
  4. Once extraction is complete, review the extracted details (vendor, date, line items, totals, etc.) in the editable form. Correct anything that looks wrong before continuing.
  5. SAGENT will flag anything that needs your attention — for example, a missing vendor name, a missing date, or a possible duplicate invoice — so you can fix it before moving on.

10. Submitting to QuickBooks or Exporting to Excel/CSV

Once you've reviewed an invoice, you have two independent options — use either one, or both:

  • Submit to QuickBooks: Click Submit to QuickBooks to create a bill in your connected QuickBooks company using the reviewed data. Your original invoice file is automatically attached to the new bill. You'll see a confirmation with the new document number once it's created.
  • Export to Excel/CSV: Click ↓ Excel or ↓ CSV to download the reviewed invoice data as a spreadsheet, including any edits you made — no QuickBooks connection required.
